How do I see ALL the record series for my entity and all its sub-units in one place?

1. To see all record series for an entity and its sub-units, go to the General Retention Schedule search, then select Search Other in the breadcrumbs at the top of the page:

2. Select Series from the menu of options:

3. Click Show advanced search options:

4. Enter the name of your entity in the “Entity Name” field and press Enter:

You’re now looking at all the record series for your entity and its sub-units.

5. If you’re seeing record series that do not belong to your entity, check and adjust the filters on the right-hand side of the screen to hone your search results:

6. To export the series, select the Export option, .csv:

7. When a new tab opens, press CTRL+A to select all the text, then CTRL+C to copy it:

8. Open a spreadsheet program and paste the data in by pressing CTRL+V:

9. Split the text into separate columns:

Information exported includes:

  • Series number
  • Entity name
  • Series name/title
  • Date range
  • Arrangement
  • Description
  • Retention and disposition
  • Primary Designation
